Privacy Policy
Vision Inspection Management Solutions LLC · Effective October 23, 2026
This Privacy Policy explains how Vision Inspection Management Solutions LLC ("VIMS", "we", "us") handles information in the V.I.M.S. – Vision Inspect mobile app and related services (the "Application"). The Application is used by home inspection companies and their inspectors ("you") to run inspections and produce reports for their clients.
Information we collect
Information you provide:
- Account information: your name, email address, password (stored only in encrypted, hashed form), phone number and inspector license number.
- Company information: company name, address, phone, email, logo, review link and inspection agreement.
- Inspection information: your clients' names, phone numbers and email addresses, real estate agent names and emails, property addresses, checklist answers, comments, findings and test readings.
- Photos you take or choose for an inspection. Photos taken with your device camera may include location information stored by your device.
- Subscription and payment: subscriptions are paid through Square (or the app store where required). We do not store your full card number; Square processes and stores payment details under its own privacy policy.
Information we do not collect: we do not use cookies, advertising identifiers, or tracking technologies, and we do not sell or share personal information for advertising.
How we use information
- To provide the Application: create inspections, generate PDF reports, and email reports to your clients, agents and you.
- To manage your account, your company's inspector accounts and your subscription.
- Report quality review: a copy of each inspection report emailed from the Application is sent to VIMS (quality@vimsinspect.com) for quality review, as described in the VIMS End User License Agreement. These copies are used only to review and improve report quality.
- To send important service notices and, where permitted by law, information about VIMS.
Where information is stored
Inspection data and photos are stored on your device so the Application works offline; the Application does not currently copy them to VIMS servers. Account, company and subscription information is stored on VIMS servers so you can sign in and manage your subscription and your company's inspector accounts. If we add syncing of inspections between devices, we will update this policy before it starts. Completed reports are retained as described below.
Who we share information with
- The recipients you choose: reports are emailed to the clients, agents and other people you enter.
- Service providers who work on our behalf and may not use the information for any other purpose: Square (payments), Apple and Google (app distribution and in-app purchases where applicable), our email delivery and hosting providers, and our development and support contractors.
- When required by law, such as to comply with a subpoena or similar legal process, or when we believe in good faith that disclosure is necessary to protect our rights, your safety or the safety of others, investigate fraud, or respond to a government request.
Data retention
- Data stored on your device stays there until you delete it in the Application or delete the Application.
- Account and company data are kept while your account is active and for up to 12 months after it is closed, unless the law requires longer.
- Inspection agreements are kept for 5 years and completed inspection reports for 3 years, to support record-keeping requirements.
- Report copies kept for quality review are kept for up to 3 years.
- Data required for legal compliance is kept as long as the law requires.
Your rights and choices
You may request access to, correction of, or deletion of your personal data, or withdraw consent, by emailing support@vimsinspect.com. You can delete inspections in the Application and delete your account from Settings. We will respond within the time required by applicable law, after verifying your identity, except where we must keep information for legal reasons.
California residents (CCPA/CPRA): you have the right to know what personal information is collected, to delete it, to correct it, to opt out of its sale or sharing, and not to be discriminated against for exercising these rights. VIMS does not sell or share personal information. To exercise these rights, contact support@vimsinspect.com.
Your clients' information: inspection companies decide what client information to enter and are responsible for having the right to provide it. Clients may contact the inspection company that performed their inspection, or contact us, to exercise their rights.
Children
The Application is intended for home inspection professionals and is not intended for anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided personal information, contact us and we will delete it.
Security
We use physical, electronic and procedural safeguards to protect information, including encrypted connections and hashed passwords. No method of storage or transmission is completely secure. If a data breach affects your personal data, we will notify you as required by applicable law.
Changes to this policy
We may update this Privacy Policy. We will post the updated version with a new effective date, and notify you of material changes in the Application or by email. Previous versions are available on request.
